With locations across 4 states and 2 time zones, we are seeking a highly motivated and detail-oriented Provider Scheduling Coordinator to join our team. This is a full-time position that is in-office. It is located in our downtown Birmingham, AL corporate office.

Job Description:

The Administrative Nurse Practitioner will be responsible for scheduling and coordinating the nursing (nurse practitioners and other medical providers) staff across all locations. You will also lead other provider program clinical duties such as nurse practitioner trainings, coaching, and clinical guidance. The successful candidate will be a key member of the Operations Team and Clinical Team and will ensure the efficient and effective delivery of nursing services to our patients across our geographic footprint. This position will also be engaged in a variety of clinical and operations projects, including development of protocols, planning and implementing changes, and working across departments to optimize efficiency and patient experience.

Responsibilities:

  • Manage the scheduling function for nurse schedules for multiple locations and time zones, always ensuring adequate coverage.
  • On-call on rotating schedule during clinic operating hours (including evenings and weekends) to be able to handle emergency scheduling issues.
  • Lead advanced practice provider new hires (first 90 days) ensuring their clinical and leadership success.
  • Coordinate staffing assignments, ensuring that the right nurses are assigned to the right locations, and that skill sets are matched with patient needs. Ever played Tetris? Scheduling is like tetris, but with people…and real stakes. Way more fun!
  • Monitor and adjust schedules as needed to ensure that patient care is not compromised, and that staffing levels remain within budgetary constraints.
  • Work closely with the Clinical Team to ensure that they have the resources they need to provide high-quality patient care.
  • Lead projects and company-wide initiatives ensuring our protocols are clear and in line with current recommendations.
  • Conduct monthly provider trainings (a scripted program and patient simulations lasting 1.5 days), including a monthly dinner with new hires.
  • Collaborate with HR and Talent Acquisition to ensure that staffing needs are met, and that any staffing issues are addressed in a timely manner.
  • Develop and maintain strong working relationships with the Provider Team and other healthcare providers to ensure effective communication and coordination of patient care.
  • Juggling multiple projects and prioritizing work as needed. These projects may include development of process flows, recommending clinical protocols, identifying inventory improvement opportunities, etc.

Qualifications and About YOU:

  • Master’s degree required.
  • FNP or similar required.
  • You are a problem solver. There is no problem you can’t figure out a solution to…even if it means getting a little creative.
  • You have strong professional communication skills and can understand and enforce policy.
  • You are curious and inquisitive, always looking to make things better but taking the time to fully understand all details first.
  • If you are not a natural leader and prefer following the status quo, this job is not for you.
  • If you are not the one people constantly look to for advice and a positive outlook, this job is not for you.
  • You do not have an issue being on call 7 days a week to respond to issues and problem solve.
  • You have strong organizational and time management skills.
  • You consider your work an important part of your life and take great personal pride in doing well.
  • You can work well with others as part of a team but are also self-disciplined enough to work independently.
  • You are detail-oriented and have already noticed every typo in this job description.
  • You are energetic and tireless. You identify opportunities and seize them!
  • You have general knowledge of nursing practices, procedures, and regulations.
  • Proficient in Microsoft Office and scheduling software.
  • Flexibility to work weekends and/or evenings as needed.
